Privacy Policy
1. Who we are
Viveli SA (“Viveli”, “we”, “us”) operates the Viveli ski school management platform, including the web application at app.viveli.ch and any white-label booking portals deployed on behalf of our customers. Our registered address is in Switzerland. For data protection enquiries, contact privacy@viveli.ch.
For data about a ski school’s own clients, the ski school is the data controller and Viveli acts as its data processor, handling that data only on the school’s instructions under a Data Processing Agreement. Each school is responsible for providing its own privacy notice to its clients — a booking portal labelled “powered by Viveli” does not replace the school’s own notice.
2. Data we collect
We collect data in two contexts:
Platform customers (ski school operators, staff, instructors): Name, email address, phone number, role and permissions, employment details, payroll data, certifications, availability, and usage logs within the platform.
End users (clients of ski schools): Booking information, lesson history, payment details, safety notes, and preferences — collected on behalf of the ski school operator.
Visitors to viveli.ch: Standard server logs (IP address, browser, pages visited), and email address if you submit a waitlist or contact form.
Where a client shares a health-related safety note (for example an allergy, condition, or accessibility need relevant to a lesson), it is collected only with consent, kept to the minimum needed for safety, and encrypted. Viveli is not a medical-records system and does not store medical files.
3. How we use your data
We use data to: provide and operate the platform; process bookings and payments; send operational notifications (lesson confirmations, reminders, payroll summaries); provide customer support; and improve the product.
We rely on the following legal bases (Swiss nFADP / EU GDPR Article 6): contract — to deliver the lessons, bookings, payments and payroll you engage us for; consent — for optional processing such as marketing and any health-related safety note, which you can withdraw at any time; and legal obligation — to retain financial records for the period Swiss law requires.
We do not sell personal data. We do not use personal data for advertising.
4. Data storage
Data is stored in EU-based infrastructure. Viveli is based in Switzerland. We do not transfer personal data outside of Switzerland or the EEA without appropriate safeguards.
5. Data retention
We keep personal data only as long as needed for the purpose it was collected for. Contact and booking data is kept while the account is active and for a defined period afterward; financial records are retained for around ten years, as Swiss tax law requires; security logs are kept for a limited period. Data past its retention window is removed on a scheduled basis. End-user booking data is retained in accordance with the ski school operator’s instructions.
6. Your rights
You have the right to access a copy of your personal data, to have it corrected, and to request its deletion. The platform supports these directly — a ski school can export a client’s full record or erase it on request. Financial records we are legally required to keep are retained even after an erasure. To exercise these rights, email privacy@viveli.ch. We will respond within 30 days.
7. Cookies
Viveli uses strictly necessary cookies for session management and authentication. We do not use tracking or advertising cookies. The preview access cookie on viveli.ch is a session management cookie that expires after 7 days.
8. Third-party processors
We work with a limited set of sub-processors (hosting, email delivery, payment processing) who are bound by data processing agreements. A current list is available on request.
9. Changes to this policy
We will notify active customers of material changes by email at least 14 days before they take effect. The current version is always available at viveli.ch/legal/privacy.
